Birthday Parties

Birthday Party with Gym (2-13 yrs)

Run, play and celebrate your birthday with us! Book early as availability is limited. A party room for 2 hours and access to a Gym with toys for 45 minutes of the party. The party room will be decorated with streamers, birthday banner and table cloths.

Party leaders will be available to assist with preparation and supervision. Once you are registered a Birthday Party Staff will contact you.

PLEASE NOTE: At this time we can only provide one additional service (balloon twisting, cotton candy or popcorn machine) for an added fee. Bouncy Castles and other major set up is not permitted.

Sportball Birthday Party (2-10 yrs)

Sportball offers high-energy, action-packed birthday parties for kids ranging in age from 2-10 years! Kids enjoy a variety of sports and supervised games in a fun, structured and safe environment; festivities finish off with a traditional birthday celebration. The kids will need to catch their breath before they blow out their candles!

Parties include 45 minutes of activities in the Gymnasium followed by 1 hour of birthday celebrations in Room 322 with the coach.

Parent/Guardian participation is required for the duration of the party for ages 2 yrs. Sportball recommends a drop-off party for children ages 3 and up.

Inclusions: Sportball leader, small gymnasium, party room (Room 322), tables, chairs. 15 children maximum for this package.

Exclusions: decorations, table settings (plates, cutlery, cups, etc), snacks, food or beverages. The Sportball office will contact you upon booking your party to confirm the details such as party room set-up, sport activities, age and number of children attending.

Registration

How can I register for a Party?

All availability will be on the vanrec.ca website under the tab Register for Activities and type “Birthday
Party with Gym” in the search bar. Once payment has been processed a staff will contact you with the
Registration form and further details on what the party day will look like.

Food policies

Do birthday parties provide utensils, plates and napkins etc.?

No, birthday party groups are responsible for all food, utensils, and additional supplies (e.g. knife, bowls, plates, lighter & candles, cups, saran wrap, napkins, etc.). The leaders are only responsible for the room set up which includes streamers, balloons, table covers, tables and chairs.

No alcohol or any substance containing alcohol may be brought in to or consumed on premises.

Only parties that are hosted in Multipurpose Room 320 have access to the kitchen. If you do have a party in room 320, hosts may not cook food on the premises. The party group may not bring in heating equipment of any kind to use on the premises.

Refund / Transfer / Cancellation Policies

What is the cancellation policy?
Cancellations require 14 days’ notice and are subject to a $25.00 administration fee. Refunds not issued to cancellations of less than 14 days. Hillcrest Centre reserves the right to cancel a party, when necessary. In this event the payee will receive notice at least 72 hours prior to the party date and all monies paid will be refunded.

Set-up and Clean-up Policies

What time can I come into my party room?

Hosts have 15 minutes before their party time (ex. Parties at 10:45AM, host can come at 10:30AM) to bring their extra items into the room, staff can assist in setting up where needed. Do not set up more than 15 minutes before your party time, staff need adequate time to set up the space. Entering the birthday party room before your set up time requires a $45 rental fee, if the space is available.

You are not allowed to store food and/or supplies at the centre outside of the specified times of your package.

Tables and chairs will be set up for the party, if approximate number of attendances is indicated. All decorations must be taken down at the end of the party.

Please ensure party guests are out of the room at the end of your party rental time, hosts have 15 minutes after the party to gather their belongings and exit the space. (ex. Party ends at 12:45PM guests need to be out of the room and hosts have till 1PM.) The party group is held responsible for the clean-up of all food items in the party. The party group must leave the space clean and tidy and on time.

Other Terms

Can I bring an additional contractor or major equipment to the party?

Hillcrest Centre does not permit any third-party contractors (i.e. mascots, party performers), Piñata’s or major equipment to operate during birthday parties.
