Room Rentals

Welcome to the Hillcrest Community Centre. Our award-winning complex is a Vancouver Green City facility and is certified as LEED Gold.

We have many functional spaces available for rent. Planning a birthday party, meeting or private sports play? We have a space that meets your needs!

 

How do you rent a room at Hillcrest Community Centre?​

Let us know your requirements. If suitable facilities are available, you will be asked to fill in a rental contract and pay a refundable deposit to reserve the space.
The total rental fee is due two weeks prior to the rental date.

What Can Rooms Be Rented For

Anyone can rent rooms for private functions as long as there is no public promotion of the event, no admission fee is charged and no money is exchanged on site. The sale or promotion of goods, services, religious beliefs, or political beliefs is not permitted during room rentals. Our gymnasium available for sports rentals only (no food, tables, chairs or other non-sports equipment is permitted in the gymnasium). You can view room availability and submit booking requests though the online rental request link at the top of this page.

Public Programs or Activities

If you are interested in teaching a class, program, or workshop to the public, we cannot accommodate this through a room rental. Please submit a program proposal to the centre programmers HERE

When Can Rooms Be Rented

We are able to accept room rental requests for a season, once the community centre programming for that season has been completed. These dates will vary, but please contact the centre if you would like to check if programming has been entered for the date you are looking at.

Food and Beverage

You may bring in your own food or engage any catering vendor to provide food and beverage services at your event. Note alcohol service is not permitted for any rental during centre operating hours. Please note that cooking or preparing of raw food is not permitted on site. Kitchen facilities are only available with the rental of Multipurpose Room 320.

Staff Charges

Rentals outside of regular operating hours or special circumstances require rental staff and are dependant on staff availability. Staffing charges are $25.71 +GST per hour with a minimum of 2 hours regardless of the duration of the rental.

Music Royalty Fees

Rentals that play pre-recorded music are subject to fees dependent on group size and activity.

Set-up and Take Down

Room rentals include the use of tables and chairs in the room. Set-up, take down and clean-up are the responsibility of the renter and must be done during the rented time. This includes tables, chairs, decorations*, food, etc. are to be stored/cleared out of the room at the end of the rental.

* Decorations may only be put up using painters tape.

Cancellations

Cancellation requests must be received in writing or by email to rphca@vancouver.ca. All transfers and cancellation requests MUST be in person, over the phone or delivered in writing to rphca@vancouver.ca.
